How to track music lesson attendance and makeups

Build a consistent record of completed lessons, cancellations, and makeup credits.

Attendance records are most useful when they tell you what happened and what needs to happen next. A clear record of cancellations and makeups helps you respond consistently without relying on memory.

Start with one record per lesson

Record the student, date, duration, and lesson status. Use consistent labels such as completed or cancelled. Keep a short note when context matters, but avoid collecting unnecessary personal details.

Separate attendance from billing

A missed lesson does not automatically mean a credit or refund. Apply the policy you have already shared with families. Record whether the lesson was billable and whether a makeup is due instead of leaving the meaning hidden in a note.

Track makeup credits through to completion

When your policy allows a makeup, record the credit. When the makeup takes place, mark it as used and link it to the student. Review unused credits regularly so they do not disappear in a busy teaching week.

A weekly five-point review
  • Are this week’s completed lessons recorded?
  • Are cancellations classified consistently?
  • Are eligible makeup credits recorded?
  • Have completed makeups used the correct credits?
  • Do any records need clarification with a family?

Keep scheduling in your calendar

A lesson tracker records activity; a calendar tells you when to show up. If you use Music Lessons Manager, maintain your calendar separately. The workbook does not synchronize appointments or send reminders.

Protect a clean history

Make a backup before larger changes and keep the original lesson record when correcting an entry. A consistent routine is more useful than trying to reconstruct several weeks at once.
